Guidelines for the management of preventive actions

Greetings dear fellow members of the "Project Hope" community, I hope everyone is very well, it is a pleasure to share with you this post, this time I want to address a topic that I consider very important in any organization, as is the importance of taking preventive actions.

In the quality management system, criteria must be defined for the management of preventive actions derived from the detection of findings evidenced in the quality management system, in such a way that their possible causes are identified, analyzed and eliminated.

Preventive actions are a means used in organizations working under quality standards to resolve potential nonconformities in a methodical manner. Preventive actions are taken to prevent problems from occurring.

Certain criteria can be evaluated to determine whether a potential nonconformity requires preventive action to be taken:

  • Observations identified in an audit or audit;
  • Evidence of trends that may lead to non-compliance with quality objectives;
  • Potential nonconformities presented in management review reports.

A finding may be classified as a potential source of nonconformity, leading to the implementation of preventive actions. The quality manager and the process manager integrate and designate a work team to define an action plan with the activities to be carried out, specifying those responsible, estimated and actual date of compliance, in order to reduce the probability of occurrence in the case of potential sources of nonconformities or take advantage of the opportunity for improvement.

The person in charge of the process follows up the implementation of the action plan and the quality manager verifies its effectiveness with objective evidence.

To conclude, I could say that in most organizations, they do not give due importance to taking preventive actions, often preferring to wait for major problems to appear, instead of investing time and resources in preventing the appearance of nonconformities, putting at risk the success of the company.
